Planning successful medical meetings is something of an art. Developing a
scientific program that will support your product messages, and recruiting
authoritative faculty who can help deliver those messages, are fundamental
steps in the planning process. For a stand-alone meeting it is important to
select an appropriate venue, and if it is an event at an existing congress it
is vital to work in harmony with the scientific secretariat to secure the best
opportunities for your product. All of this has to be done within a finite
budget. At Facilitate we offer advice on planning and implementing a wide range
of different meetings and events. Here are just some of them.
Our
logistics services
Facilitate can provide a complete
logistics service for all the meetings described here. Key points to note are:
-
We have an online registration system that allows physicians and client
personnel to register via our web site, and our clients to view attendance
status.
-
We have one of the best delegate management software programs which we use to
run events more efficiently.
-
Audiovisual support is provided either by local suppliers (sometimes with a UK
producer) or through our network partners, AVT.
We know our limitations too, so we will not take on any event that we feel is
beyond our current capabilities.
Places
we've done meetings (so far...)

Facilitate has
organized meetings since 2002, although the company personnel have considerably
wider experience of venues all around the world.

Advisory
Boards
These meetings help secure valuable
commercial advice from external experts. Using our experience we work as a
catalyst between industry and medical professionals to ensure that objectives
are met. Our knowledge of exclusive venues for these important meetings spans
Europe, Africa, and North and South America. Facilitate will help you
with the faculty selection and recruitment process, in briefing the chair, and
in developing the format and agenda for the meeting. For some useful insights
into Advisory Board, please download our fact sheet.
Congress
symposia
Symposia are an effective means of
communicating product information. We can negotiate with scientific
secretariats to ensure maximum exposure for your congress session, and can
develop and implement an interesting and effective scientific program that
supports your needs. This includes skillful briefing of faculty to make sure
that points of commercial sensitivity are accurately communicated; development
of speaker presentations; faculty and delegate logistics; and stage-managing of
the symposium itself.
Editorially, we also undertake the development of a range of symposium support
items, such as audience-generation materials and abstract books, and can
provide a full service on post-meeting publications and reports. We firmly
believe that eye-catching design appropriate to the product branding is an
essential ingredient in the success of congress support materials.
Stand-alone
meetings
A meeting organized entirely by a single
pharmaceutical company can have many advantages over congresses in terms of
flexibility, the choice of venue, direction of the scientific program, and
overall control of the event. Facilitate can work with you to develop
the scientific program, recruit and brief chairs and speakers, and manage the
event from start to finish.
As with all our meetings, our support covers everything from speaker
recruitment to delegate logistics. Our delegate management is at the leading
edge and we can provide an online registration and information service to local
operating companies. We manage all aspects of the meeting, including
audiovisual support and stage management.
Patient
advocacy meetings
Patients are an influential group in a
number of areas of medicine. They can be invaluable in putting forward the
patient's (and carer's) perspective on a condition, and in many countries are
influential in driving the choice of therapy.
Facilitate has experience of working with patient advocates across a
range of disease areas, and can design a program and meeting to achieve your
objectives. We have also produced educational materials for patient advocates
to use in talking to patient groups and we are skilled in pitching the
information at the right level.
Guidelines
development
Guidelines are vital for any emerging or
under-recognized therapy area, as well as in establishing agreed management
strategies in those areas of medicine where treatment is complex. It is not
only important to understand the issues, but also to be clear as to the
position of a new product within the existing medical management. Facilitate
will work with clients and opinion leaders to develop a consensus process that
will enhance physician understanding of such therapeutic areas and new
therapies.
Medical-marketing
meetings
These range from routine updates for local
operating companies to complete internal product launches. At Facilitate
we have significant experience of creating memorable internal workshops and
launch events.
Appreciation of your commercial objectives, allied with an understanding of the
scientific rationale for the product, means that we can contribute to the
development of exciting and relevant activities that will challenge the
thinking of your local operating company personnel. We can also assist with the
development of presentations and the scripting of keynote talks, and are able
to rehearse speakers and manage the team-building activities that are an
important part of these meetings. Most importantly, our aim is to lessen the
burden on you in undertaking the time-consuming organization of these events.
Investigator
meetings
Investigators are becoming increasingly
recognized by pharmaceutical companies as offering the first opportunity to
"market" a new product to a group of potential product advocates - the clinical
investigators. An investigator meeting need not be lavish and expensive, but it
should be memorable and well-organized. Facilitate can offer the right
balance of cost-effectiveness and imaginative event management.
CME
accreditation
All of our US meetings - and some in Europe
- can be CME accredited through one of our network partners or any organization
of your choice. For more information on CME, please see the section on this web
site and download our fact sheet.
